Terms And Conditions

1. INTRODUCTION

These Terms of Service (“Terms”) govern your booking and participation in VISITING WRLD retreats, fitness events, and related services (“Services”). By booking a retreat, event, or any other service with VISITING WRLD, you (“the Booker” or “Guest”) confirm that you have read, understood, and agreed to these Terms. It is your responsibility to ensure that all members of your booking party also comply with these Terms.

VISITING WRLD reserves the right to amend these Terms at any time. The latest version will be available on our website, and continued use of our Services constitutes acceptance of any updates.

2. CONTRACT FORMATION & BOOKING

2.1 Booking Confirmation & Agreement

  • A booking is confirmed when a deposit or full payment is received.
  • Upon making the initial deposit payment:
    1. A binding contract is formed between you and VISITING WRLD.
    2. You accept all terms outlined in this document, including payment obligations and cancellation policies.
  • Your deposit holds your spot for fourteen (14) days, within which your retreat agreement must be signed on your onboarding call. If it is not, your spot is released and your deposit is forfeited (Refund and Cancellation Policy, Section 2.4).

VISITING WRLD reserves the right to reject or cancel any booking if Terms are violated.

2.2 Payments & Installment Plans

  • Deposits are non-refundable.
  • Full payment is required by the stated deadline; failure to pay on time may result in cancellation without refund.
  • After the deposit, the remaining balance is paid on a payment plan, divided into equal payments made monthly or every two weeks. The final payment is due no later than seven (7) days before the retreat begins. The final payment may be slightly higher or lower than the others, and you may pay ahead at any time.
  • If a payment is missed, you have fourteen (14) days to make it. If we have not heard from you by then, we send a final notice, and if you do not pay or contact us within forty-eight (48) hours of it, your booking is cancelled and all payments are forfeited (Refund and Cancellation Policy, Section 4.2).
  • Prices are subject to change before booking confirmation but will remain fixed after full payment is received.

2.3 Cancellations & Refunds

By Guest:

  • Deposits are non-refundable.
  • If unable to attend, a Guest may transfer their booking once, to another VISITING WRLD retreat starting within twelve months or to another person, for a fee set by how far ahead they ask: $250 at 90 or more days before the retreat, $500 at 45 to 89 days, $750 at 31 to 44 days. No transfer is available within 30 days of the retreat, except for a serious emergency. Full terms are in our Refund and Cancellation Policy, Section 7.

By VISITING WRLD:

  • VISITING WRLD reserves the right to cancel a retreat due to force majeure (natural disasters, pandemics, government restrictions, etc.). Cancelling a retreat is our last and absolute final choice. If VISITING WRLD cancels a retreat, for force majeure or any other reason, the Guest chooses, based on their availability, another VISITING WRLD retreat we already have scheduled that starts within twelve (12) months of the original retreat, at equal value, and all payments made move to it. Choosing a lower-value retreat is the Guest’s own choice and is not refunded. A refund is issued only if we have no scheduled retreat to offer (Refund and Cancellation Policy, Section 5.2).
  • VISITING WRLD is not responsible for reimbursement of flights, visas, or other travel expenses.

3. TRAVEL DOCUMENTS & RESPONSIBILITIES

  • It is your responsibility to ensure you have a valid passport and any required visas for the destination country.
  • VISITING WRLD does not obtain visas or travel authorizations on your behalf. We send visa guidance and the official links for your destination before you travel.
  • Failure to obtain the necessary documents does not qualify for a refund.
  • Any denied entry due to documentation issues is the Guest’s responsibility, and VISITING WRLD will not provide refunds or compensation.

4. AIRPORT TRANSFERS & TRANSPORTATION

4.1 General Transfer Policies

  • Airport transfers between the retreat’s arrival airport and the villas are included on the retreat’s arrival and departure days, in shared vans grouped by landing time.
  • Guests must submit their flight details before the designated deadline to be placed in a van group.
  • VISITING WRLD is not responsible for any costs incurred due to delayed, canceled, or rescheduled flights.
  • Shared transfers may require wait times of up to two hours.
  • Guests must arrive at the designated transfer pickup location on time; failure to do so may result in forfeiting the transfer.

4.2 Luggage Responsibility

  • Guests are responsible for loading and retrieving their luggage.
  • VISITING WRLD is not liable for lost, stolen, or damaged baggage during transportation.

5. ACCOMMODATION POLICIES

5.1 Accommodation Security Deposit

  • Some accommodations may require a refundable security deposit upon check-in.
  • Security deposits may be withheld for damages, excessive cleaning, or rule violations.

5.2 General Accommodation Rules

  • Only registered Guests may stay in VISITING WRLD accommodations.
  • Noise levels must be kept respectful, and local laws and accommodation rules must be followed.
  • Check-in and check-out times must be adhered to. Luggage storage is not guaranteed before check-in or after check-out.

5.3 Damages & Additional Charges

  • Guests are responsible for any damages or excessive cleaning fees.
  • If damage occurs, Guests may be charged before departure.

6. ITINERARY & ACTIVITY CHANGES

  • VISITING WRLD reserves the right to modify itineraries due to weather, safety concerns, or guest feedback.
  • If an included activity or excursion is cancelled, it is replaced with one of equal value (Refund and Cancellation Policy, Section 5.4).
  • Guests are not entitled to refunds for itinerary changes.

7. THIRD-PARTY SERVICES & LIABILITY

  • VISITING WRLD may recommend or include third-party activities but is not responsible for their safety, operations, or service quality.
  • Participation in excursions outside of VISITING WRLD’s official offerings is at the Guest’s own risk.

8. HEALTH, FITNESS, & SAFETY

  • Guests must disclose any medical conditions that may affect their participation.
  • Guests must be physically able to participate in the retreat’s activities. Refunds will not be given for inability to participate due to physical limitations.
  • Travel insurance is strongly recommended and should cover medical emergencies, trip cancellations, and personal belongings.
  • VISITING WRLD is not liable for accidents, injuries, or illnesses that occur during the retreat.

9. CODE OF CONDUCT

  • Guests must respect fellow participants, staff, and local communities.
  • Excessive alcohol consumption, disruptive behavior, or illegal activities will result in removal from the retreat without refund.
  • Drugs are strictly prohibited. Any Guest found in possession of illegal substances will be removed and may be reported to local authorities.
  • Guests causing property damage or disruptions will be financially liable and may be banned from future events.

10. IMAGE USE & MEDIA RIGHTS

  • Guests consent to being photographed or filmed during the retreat for promotional purposes.
  • If a Guest does not wish to appear in promotional materials, they must notify VISITING WRLD in writing before the retreat.
  • VISITING WRLD reserves the right to use retreat footage and images for marketing without compensation to Guests.

11. LIABILITY & FORCE MAJEURE

  • VISITING WRLD is not liable for flight cancellations, lost baggage, illnesses, weather disruptions, or personal emergencies.
  • Participation in activities is at the Guest’s own risk, and safety guidelines should be followed.
  • VISITING WRLD’s liability is limited to the amount paid by the Guest for the retreat.
  • If force majeure events (e.g., natural disasters, pandemics) occur, VISITING WRLD reserves the right to alter, postpone, or cancel retreats. If a retreat is cancelled, Section 2.3 applies.

12. DISPUTE RESOLUTION

  • Any disputes arising from these Terms shall be governed by the laws of Michigan/United States
  • Mediation or arbitration may be used before legal action.
